This position entails HEAVY data entry (attorney and paralegal time), entering new client information into the billing program (Legal Master), processing the monthly bills, responding to attorney and client inquiries (via phone and email) and serving as the backup receptionist. The firm realizes that the program they use is not heavily used and as such they are willing to train on their program. They just need someone with experience with some kind of legal billing software. The Los Angeles office of a large international firm is currently seeking an experienced Secretarial Services Manager. This position is responsible for ensuring that the firm's attorneys and legal assistants receive quality secretarial support. It requires a high degree of independent judgment and discretion. The Manager is expected to provide guidance, encouragement and coaching to the secretarial staff, attorneys and legal assistants, while fostering a team environment. He or she is responsible for monitoring and developing comprehensive training in conjunction with other departments, administering the performance evaluation process (including compensation) and actively promoting continous communication between the attorneys and legal monitoring and approving work schedules; recommending and managing secretarial groupings; and indentifying and addressing performance issues, including conducting disciplinary actions. In addition, the Manager will assist with the recruitment and orientation of newly hired or temporary secretarial personnel , will conduct regular staff meetings and will work with the Secretarial Review Committee to further the continuing development of the secretaries. The selected candidate must have at least five years of experience supervising or managing secretaries within a large law firm and must demonstrate expertise in providing prompt, professional and courteous services fro all secretarial requests. In addition to excellent verbal, writing and organizational skills, the candidate must be adept at problem resolution. He or she show strong competence in staff management and be process-oriented, yet flexible. The candidate must be able to maintain confidentially, act with evenhandleness, and interact effectively with individuals on all levels of the firm's business.
